Tutorial TopicsThis first set of topics explains general concepts to help you
understand how WML works. If you understand these general concepts, learning
the rest will probably be much easier. After the tutorial section there are
sections for each menu item, including help for each item on each screen.
How to print the documentationThese are the documentation files which are
provided on-disk with WML:~~1. READ.ME ── Things to know before using WML plus
latest features~2. WML.TXT ── ASCII text file of the shareware manual (which
differs from the more in-depth Registered Edition manual)~3. WML.WP ──
WordPerfect 5 file of the shareware manual~4. ORDER.FRM ── A blank invoice for
ordering all of my software (an invoice & registration form is included in the
WML.TXT and WML.WP files).~~Go to the DOS prompt and change to your WML
directory (e.g., "cd \wml"). To |display| a file:~~|| Type "|LIST filename|" -
If you have 4DOS or LIST.COM in your computer you will see the file appear
almost instantly~~|| If you see the message "Bad command or file name") then
use "|MORE < filename|"~~To |print| a file enter "|TYPE filename > PRN|"
(without the quotation marks). If underlining is causing an extra line to be
generated, it means your printer is adding a Line Feed (LF) character to the
Carriage Return (CR) character. This used to be common in days of old when data
moved slowly and saving one byte was significant, but these days most software
works better if you turn this feature OFF. Look in your printer's manual for a
feature described as "CR=CR or CR=CR+LF" or something similar.~~If you have
WordPerfect or another word processor which can import WordPerfect files (such
as Word), run it and load the file WML.WP. You will see instructions in a
comment at the top of the file.
How to registerIf you use WML past the 60-day trial period you are obligated
and honour-bound to pay the registration fee.~~|√| You'll get the latest
version with automated installation and PCL (laser) soft fonts on floppy
disk~~|√| Support from the author will be available via telephone, mail, and
BBS~~|√| You may order a detailed, 3-ring-bound manual~~|Registering Through
the Mail|~~|1.| Choose the |H|elp/|O|rder Form option from WML's menu and
prepare your printer. If you print the instruction manual (see "Printing The
Documentation" in the Help Index) the order form can be found on or around page

How to obtain updatesIf a message appears on your screen informing you that
the software is out-dated, it is an indication that the latest version of WML
has vastly improved ── it probably has many more features and enhancements. You
can also use the command DIR WML.EXE to look at the date of the WML programme;
if it is over a year old you would probably be amazed at the improvements you
could be using.~~I want you to evaluate and use the latest and best version, so
here is how you can obtain an update:~~■ If you have a modem, look around page
5 of the documentation (WML.TXT or WML.WP) for the list of official
distribution bulletin board systems. You can call any of these systems and get
the latest version for free (except for long distance charges, of course).~~■
Send $4 for an Organic Software Sampler disk plus $3 shipping within the
Continental U.S., $5 shipping to Canada, or $9 shipping to other countries.
Send U.S. funds or equivalent cash in your local currency. This disk contains
the latest versions of all my Shareware. Be sure to specify the disk size and
density you require.~~■ Call (800) 242-4PsL and order the latest version from
Public (software) Library. Ask for product #10800. PsL can also take credit
card orders for registrations.
Laser Printer FontsFonts are different styles of type your printer can
produce (e.g., Helvetica and Roman are two common fonts). Your laser printer
has one or more of the following types of fonts:~~|| Resident fonts~||
Cartridge fonts~|| Soft fonts~~|Resident fonts| are permanently stored in your
printer's memory to be used at any time. |Cartridge fonts| are also a type of
memory, available for use at any time. |Soft fonts| are stored on disk and
downloaded (sent) to the printer as needed.~~|NOTES|~~Envelopes use |landscape|
fonts (soft fonts ending in .SFL), labels use |portrait| fonts (soft fonts
ending in .SFP).~~Soft fonts |must| end in SFL or SFP. If you have PCL soft
fonts with different extensions (such as USP), just rename them to SFP or SFL
as appropriate. SFP and SFL are the most common extensions, meaning |S|oft
|F|ont |P|ortrait and |S|oft |F|ont |L|andscape.
Menu UsageWML uses the same type of menu found in Windows, Gem, QuickBASIC,
and other popular software. The menu, which is on the second line of your
screen, is two-dimensional: there are |menu headings| horizontally and under
each of these are the actual |menu items|. There are three ways to choose a
menu item:~~1. Use the right, left, up, and down arrows to highlight the item
you want then press |─┘Enter|, or~~2. Press the highlighted letter of the menu
item, or~~3. Use a mouse to highlight a choice; select it by clicking the left
button.~~For example, you can press |F| then |x| to exit WML, or highlight
|File| then press the down arrow and highlight |Exit| then press
|─┘Enter|.~~|NOTES|~~To pull-down (|open|) a menu just highlight it then press
|─┘Enter| or the |down-arrow| key.~~To |close| a menu press the |Esc| key. It
is not necessary to close a menu. You can use the right/left arrows with the
menus opened to browse all of the options. Usually the only reason to close a
menu is so you can use the letters instead of arrows (e.g., if you had the File
menu open and wanted to use the Help Index you could press Esc to close the
File menu then press |H|-|I|).
Order of Printing & ViewingTo control the order in which entries are printed
or viewed use the Index menu. You will see a || mark next to the index which
is currently in use. For more details see the |Indexing| section.
POSTNET Bar CodesPOSTNET bar codes are printed automatically at the bottom of
every envelope which has a U.S. zip code; you may also choose to print them on
laser labels.~~Watch laser labels to be sure the bar codes are printed
completely. If you set the left margin too high (even a 0.2-inch margin may be
too much), a 9-digit bar code may get chopped-off on the right side. All bar
codes end in a tall line. Measure with a ruler: a 9-digit bar code is 6cm
wide.~~|USPS Guidelines|~~The USPS' guideline for bar code positioning is ¼"
from the bottom and 3½" to 4½" from the right edge of the envelope. WML
automatically allows for ¼" at the bottom and 3-7/8" from the right
edge.~~|What If Bar Codes Don't Print?|~~If bar codes are not printing or are
chopped off, it is probably due to the print going past your printer's built-in
margin. With envelopes, if the bottom is being cut, set the Bottom Offset (on
the Preferences/Envelope Size screen) to a positive number (e.g., |0.1| will
move the bar code up by 0.1 inches). With labels, if the bar code is being
chopped on the right side, reduce the left margin setting on the
Preferences/Laser Labels Set-up screen.
Status LinesWML has two status lines, at the top & bottom of the screen. At
the top is the title of the programme and the WML file you have open (if any).
At the bottom of the screen is a bar which looks like
this:~~|Total│Selected│Bad/Omit│Pack│Index│01-01-1980|~~From left to right the
items are:~1. Total records in the open file~2. Total records selected for
printing~3. Total records bad or excluded from mailings~4. The word |Pack| if
there are entries to be erased~5. Index in use (name, company, address, or
zip)~6. To-day's date (so far as the computer knows). If you have a filter
chosen, this will be replaced with "|Filter|" followed by a word indicating the
chosen filter or a sequence of letters indicating multiple filters. If the
filter message is |bright| the selection is unchanged, otherwise changes have
occured. For example, you have set the filter to Selected Only then cleared the
selection status of a record. The filter message would change to dim since the
filter is no longer accurate.

Using WML on a laptop computerLaptop or other portable computers which use an
LCD or gas plasma display screen are similar to computers which have VGA
monochrome displays ── WML knows you have a VGA (or EGA or CGA) display
|adapter|, but it doesn't know if you have a colour |monitor|. If you have a
one-colour monitor (like LCD), some things may be difficult or impossible to
read on the screen.~~To remedy this problem, use the |/M| (Monochrome) switch
when you start WML ── enter |WML /M| at the DOS prompt. If you are "launching"
WML from within Windows, highlight your WML icon then press Alt-Enter (or
access the File/Properties menu item with your mouse) and add |/M| at the end
of the command line.
What does 'Selected' mean?Your mailing list has entries in it, and each entry
has a |Selected for printing| toggle switch, which you can see on the right
side of the Data Entry/Names screen. This toggle is either ON or OFF. A
check-mark in the box |[√]| means that the entry is Selected; otherwise |[ ]|
it is not.~~The general idea here is that you |select| the records that you
want to do something with (like print them). This could also be called
"marking" or "flagging" entries. Most often the selected records will be
printed on envelopes or labels, but you can also perform other actions on them.
~~|EXAMPLE|~~Let's say you want to move records from one file to another. You
can do it by Selecting them then importing or exporting (import & export both
allow you to operate on all entries or just the Selected entries).~~|How To
Select Entries|~~There are two ways you can select entries:~~|1|. One-by-one
by accessing an entry on the Data Entry/Names screen, then pressing
|«Alt»|-|S| to toggle the Selected switch ON and OFF, or~~|2|. Using the
File/Print-Select-Query option, which gives you complete flexibility to select
the whole list, individual entries, or entries which match certain criteria.
Why are some menu choices unavailable?Menu choices are sometimes "grayed-out"
(displayed in low-intensity gray) to indicate that they are not available.
When this is the case, it means that certain conditions are not being met to
allow the use of the function. For example, if you have not opened a file, the
Print, Import, and Export options will be unavailable since they operate on
the data contained within a file.~~The most common reasons for items being
unavailable are:~~|■| No file open ── if a file is open, its name is displayed
after the |What Mailing List?| title at the top of the screen~~|■| No items
selected ── in order to print labels, envelopes, etc. you must first select the
items which you want to print. If you have opened a file, look at the status
line at the bottom of the screen to see how many records are Selected.~~|■|
Printer or fonts not defined ── you must tell WML which printer you are using
and which of the printer's fonts to use when printing before you can print
anything. See the Preferences/Printers screen to define this information.
Ending WML (return to DOS)When you are finished using WML and want to end the
programme just select the E|x|it option under the |F|ile menu. If all menus are
closed, just press |Fx|, or you can highlight the File menu then use the down
arrow to highlight Exit then press ─┘Enter.
FileIn general, using the File menu is like going to your paper filing
cabinet. There are options to work with the files stored on your disk.~~Use the
up and down-arrow keys to highlight the item you want then press |═╛Enter| or
press the highlighted letter for the item.~~Your mailing lists will be stored
in one or more files. You must specify a file to use before you can enter any
information. Think of it this way: you have to go get a file out of your filing
cabinet before you can look at what's there or add anything to it, and if you
don't have any files you have to set one up.
OpenOpens an existing file. After you choose this option you will be shown a
menu of files from which to choose. Highlight your choice and press
─┘Enter.~~You must have a file open before you can work with entries. If you
have not yet created any files then use the |New| option to create and open
your first file. ~~When you open a file it stays open until you close it (see
File/Close), create a new file (see File/New), open another file, or exit WML.
NewFile_NewCreates a new mailing list file (like labelling a new paper file
folder). When you choose this option a window "pops" open where you can
enter:~~|| A name for the file, and~|| A description of it~~The |file name|
is the DOS name on the disk. It can be 1-8 characters long using letters and/or
numbers.~~The |file description| is up to 40 characters of any type which
describe the file. The description appears next to each file in the File/Open
window.~~|NOTES|~~File names must be unique. You can't make two files with the
same name (the computer would never know which one you wanted). File
descriptions can be identical to others or may be left completely blank if you
prefer.
File nameFileNameA file name consists of one to eight characters, including
numbers and/or letters only (no special characters such as a period, comma,
etc.). WML will force the name to be all upper-case letters. If you enter the
name of a file which is already on disk or enter a name which is unacceptable
for some other reason, a window will pop open with a message explaining the
problem.
File descriptionFileDescIn addition to the file's name on disk you may also
enter a long description of the file, which may contain up to 45 upper-case and
lower-case letters, numbers, and punctuation and other special characters.~~The
long description is stored in a separate file which is compatible with the 4DOS
command interpreter. If you are using 4DOS then these descriptions will appear
when you view a directory of the files from the DOS prompt (using the DIR
command). You may also edit these descriptions using the 4DOS DESCRIBE command;
any changes you make from 4DOS will appear in the WML file list.
CloseFile_CloseCloses the file currently in use. This is useful if you want
to erase the file which is currently open or if you will be leaving the
computer unattended for a long while you can use Close to save any information
which may be sitting in memory.~~|NOTES|~~File headers are written only when
files are closed. If your computer loses power while a file is open, it would
be something like dropping a bunch of papers on the floor: the information is
all there, just a little out of order, so just use the Re-index option to sort
things out again.
DeleteFile_DelPermanently erase a file from disk. This function is
equivalent to the DOS |del| or |erase| commands. Erasing a file frees up disk
space.~~|NOTES|~~If you accidentally erase a file, you |may| be able to recover
it with QU or some other 'undelete' utility. For the most part, however, once a
file is erased it's gone, so be careful. To be safe, make a back-up of your
files before deleting any.
Change file nameFile_ChangeThis option lets you change the file name and
description of the open file. Once you select this option a window will pop
open with the current name & description. Make any changes and press |F7| (or
click on "Ok") to save the changes.~~|NOTES|~~The open file (displayed at the
top of the screen) cannot be changed. Use File/Close to close it.
Back-upMakes a back-up copy of your data files. You must have a formatted
floppy disk ready. You can use the same back-up disk over and over again (the
new copy will over-write the old one), but it may be a good idea to alternate
at least three back-up copies.~~|NOTES|~~Use a rotating back-up scheme with at
least three sets of disks or tapes.~~When the work you've done since your last
back-up becomes too much to lose, it's time to make another back-up.~~Using
compression software requires more memory. The back-up function will only let
you choose compression software if you have enough free memory.~~|| ARJ 2.41
needs at least |300k| free~~|| LHARC 2.13 needs at least |189k| free~~||
PKZip 2.04g needs at least |157k| free
RestoreRestores data files from a back-up copy. This is useful if your data
files become damaged or are accidentally erased.~~|CAUTION|~~Restoring data
files |erases| any data files of the same name which exist. If you need to
restore a single file, do so manually from the DOS prompt.
Format FloppiesWML first tries to find WFF.EXE in your DOS search path. If
found, What Floppy Format? is run; otherwise, you will be asked to specify a
drive and the DOS FORMAT command will be used.~~|CAUTION|~~Formatting
completely erases any information which may be on a disk.~~|NOTES|~~Your DOS
|path| must point to |format.com| (which is probably in your DOS directory). If
it does not you will see 'Bad command or file name' flash on your screen and
disks will not be formatted.~~No parameters are passed to FORMAT -- your
drive's highest density will be used.
Re-indexRebuilds index files and counts the flagged entries.~~If a power
outage or other problem causes some of your entries to mysteriously disappear
or the number of Selected, Bad, Omitted, or Deleted entries are wrong, use this
option to refresh the index & flag counts.
PackThe Pack option removes records from the file which have been marked for
deletion.~~Until a file is packed, "deleted" entries remain on file (which
allows you to change your mind about deleting them, if necessary).
ImportAllows files from other software to be read into a WML mailing list.
Imported information is added to the open mail file.
dBase FilesIn_DBFYou can import records from any dBase-compatible DBF files.
This includes files made in dBase, FoxBase, dB XL, dBFast, QuickSilver,
Clipper, or any other dBase clone plus any application software which uses the
DBF file format, such as DDLABEL.~~Once you choose this option you will be
asked for a file specification which may include a drive and path. You may use
wildcards (e.g., D:\DBASE\*.DBF) or you may specify the file (e.g., MYFILE.DBF
or D:\DBASE\DATA\MYFILE.DBF).~~Next you will see two windows: On the right are
the WML fields; on the left are the DBF fields defined for the highlighted WML
field.~~1. Use the up and down arrows to highlight a WML field~~2. Press |F3|
and a menu of the DBF field names will pop up~~3. Highlight each field you want
included in the WML field and press the |«SpaceBar»|~~4. Press |─┘Enter| or
click on "Ok" when done and you will see the fields you defined in the
left-hand window.~~|| Press the |F9| key to begin importing the DBF file using
the field assignments you specified.~~|SAVING YOUR DEFINITIONS|~~You can save
definitions to disk and later restore them. Press |F7| to save a definition to
disk and |F5| to restore a saved definition.~~|NOTES|~~WML is included with DBF
definitions for competing mailing list software, such as DDLABEL. You can get a
free definition for any competing mailing list software by mailing me a sample
file on a disk.
ASCII FilesIn_ASCASCII (text) files can be created by editors like EDLIN or
QEdit or generated from most software packages. The format is one record per
line with each field separated by a comma. Fields may have quotation marks
surrounding (which is needed if commas are imbedded) but it is not
required.~~Once you choose this option you will be asked for a file
specification which may include a drive and path. You may use wildcards (e.g.,
D:\WML\*.TXT) or you may specify the file (e.g., MYFILE.TXT or
D:\ASCII\DATA\MYFILE.TXT).~~Next you will see two windows: On the right are the
WML fields; on the left are the fields defined for the highlighted WML
field.~~|DEFINING THE FILE FORMAT|~~1. Use the up and down arrows to highlight
a WML field in the right-hand window~~2. Press |F3| and a menu showing the
first record of the input file, split into one field per line, will pop up~~3.
Highlight each field you want included in the WML field and press the
|«SpaceBar»|~~4. Press |─┘Enter| or click on "Ok" when done and you will see
the fields you defined in the left-hand window.~~|| Press the |F9| key to
begin importing the file using the field assignments you specified.~~|SAVING
YOUR DEFINITIONS|~~You can save definitions to disk and later restore them.
Press |F7| to save a definition to disk and |F5| to restore a saved definition.
WML 2.x FilesYou can import records from other WML files, in effect
consolidating two files into one.~~Once you select File/Import and choose this
option, you will be asked for a file specification. You may enter a complete
file name (such as |MYFILE.WML|) |or| you may enter a file mask (such as
|*.WML|). If you enter a mask, a window of available files will open from
which you may choose one file.~~After you have specified the file you wish to
import, WML will ask if you want to import all of the records from the file or
only those records which are Selected within that file. By importing only the
Selected records, you have total control over which records are imported.
WordPerfect FilesIn_WP?WordPerfect mail merge files can be imported into a
WML file using this function.~~Once you choose this option you will be asked
for a file specification which may include a drive and path. You may use
wildcards (e.g., D:\WML\*.WP) or you may specify the file (e.g., MYFILE.WP or
D:\ASCII\DATA\MYFILE.WP).~~Next you will see two windows: On the right are the
WML fields; on the left are the fields in the import file which are defined for
the highlighted WML field.~~|DEFINING THE FILE FORMAT|~~1. Use the up and down
arrows to highlight a WML field in the right-hand window~~2. Press |F3| and a
menu showing the data in the first record of the input file will pop up. If the
file is a WordPerfect 5.1 file with field names, then the field names will
appear in the window.~~3. Highlight each field you want included in the WML
field and press the |«SpaceBar»|~~4. Press |─┘Enter| or click on "Ok" when
done and you will see the fields you defined in the left-hand window.~~5.
Go back to step 1 and repeat the procedure for each WML field desired. You
need not define every WML field, only the ones you wish to use.~~|| Press the
|F9| key to begin importing the file using the field assignments you
specified.~~|SAVING YOUR DEFINITIONS|~~You can save definitions to disk and
later restore them the next time you import a file which is to use the same
definitions. Press |F7| to save a definition to disk and |F5| to restore a
saved definition. If you add or change any of the field definitions and press
F9 without saving, WML will ask if you wish to save the definition.
ExportAllows the entries within a WML file to be saved in a different file
format so that it may be accessed by other programmes.
ASCII FileAn ASCII text file is usable by most word processors, text editors
(including edlin), etc. If you aren't sure what format another person will
need, use ASCII since it is the most universal.~~ASCII files are read and
written in the following format:~~|| One record per line~|| Fields separated
by commas
WordPerfectAllows What Mailing List? information to be used with
WordPerfect's merge function. An ASCII file will be created which contains the
necessary WordPerfect control codes.~~|NOTES|~~From within WordPerfect press
|«Ctrl»-«F5» T R| (DOS |T|ext File |R|etrieve CR/LF to [HRt]).
Microsoft WordCreates a mail merge file of your What Mailing List? data for
use with Microsoft's Word word processor. An ASCII file will be created which
contains the header information necessary for Word.
Ventura Publisher ASCIICreates an ASCII file with one field per line and a
blank line between fields. Each line contains a tag name preceding the field.
For example, an entry might look like this:~~|@NAME = Acme Tools,
Inc.|~|@ADDRESS = 123 Anywhere Street|~|@ADDRESS = Suite 140|~|@CITY =
Sometown|~(etc.)
Print / Select / QueryThis brings up a second pull-down menu and is used in
the same way. Records must be selected to be included in any print-out. |Only
selected records will print.| This menu also has an option to perform actions
on the selected records, such as define groups and flag for deletion.
(Select or Clear)|Select| marks each record to be included in any print-outs.
Records which you Select are |added| to those already selected. For example,
you could clear all records, then mark records in your Christmas List group
then mark records in your Friends group.~~|Clear| is the opposite of 'Select.'
Clearing a record means that it will no longer be included in any print-outs
(until it is Selected again).
AllSelect or Clear all of the entries on file.
GroupSelect or Clear entries according to group definitions. The Group window
will open so you can select the group(s) you would like to select.
DateSelect or Clear any entries which have never been printed (Times Mailed
is zero) or entries which were mailed on a particular date.
CitySelect or clear records based on the City of the addressee.
StateSelect or clear records based on the State or Province of the addressee.
ZipSelect or clear records based on the Zip/Postal code of the addressee.
PhraseSelect or clear records based on a phrase in the comments.
IndividualSelect or Clear records on an individual basis. Under this menu are
three options ── Entire list, Only selected entries, and Only deleted entries.
"Entire List" will let you choose from all records in the mailing list. "Only
Selected" will present only those records which are currently selected. "Only
Deleted" will let you review the records marked for deletion. After you choose
one of these options a window will open showing the records. You can move
throught the list using arrow keys, PgUp/PgDn, etc. and press ─┘Enter to
toggle the records selection on and off.
ActionsThis menu lets you perform actions on the entries which are selected
for printing.~~|Reset selected to group(s)| will change the group setting for
all selected records to the group(s) you choose.~~|Add group(s) to selected|
will add the group(s) you choose to the selected records, without changing the
groups to which the entries already belong.~~|Mark selected for deletion| will
set the Delete flag for the selected entries.~~|Clear Delete flag of selected|
will turn off the Delete flag for the selected entries.~~|Omit selected from
mailings| will turn on the Omit flag for the selected entries. Since Omitted
records can't be selected for printing, this also turns off the Select flag,
resulting in zero entries being selected for printing.~~|Clear all Omit flags|
will clear the Omit flag for |all| entries in the file.~~|Set selected to a
date| let's you change the Times Mailed and Last Mail Date of the selected
entries. This is handy for those times when you print a list but then don't
actually mail to the people until a later date. See also the |Set to date| help
entry.~~|Make selected 'Never mailed'| clears the Times Mailed and Last Mail
Date fields. This is handy if you print a list and update these fields, then
are unable to use the labels and need to print them again.~~|Notes on
Deleting|~~Records marked for deletion are |not| removed from the file until
you use the |F|ile/P|a|ck option.
Set to dateSel_SetDateThis option lets you increment the times mailed and/or
the last mail date for the Selected entries. You might want to do this, for
example, if you printed envelopes or labels and then the mailing got held up;
you could reset the date to the actual mailing date.~~|Increment Times Mailed
by...| can be a positive or negative number, or zero.~~|New Last Mailed Date|
can be set to a date or you may leave it blank (use the space bar or Delete key
to erase the default date). If you leave it blank, the date will not be
changed.~~Press |F9| to begin changing records. Press the |Esc| key to exit
without making any changes. You can also use a mouse to "click" on the Help,
Save, or Cancel options listed near the bottom of the screen.
PrintThis is where you print labels, envelopes, or a group list.
Group ListPrint a list of the groups defined on blank paper.~~The groups you
define are common to all mailing lists.
Phone BookPrint a phone book containing the selected entries. The phone book
can be printed on a laser or dot matrix printer. You will be asked for two font
selections ── one for titles (the header and footer of each page) and a second
font for the entries.~~Fonts should be no more than 10cpi or 12 points; 12 to
17cpi mono-spaced (fixed) fonts are recommended.~~Use of proportional fonts
will cause the index at the top of each page to "float."
Laser EnvelopesPrints Selected entries on envelopes on your laser
printer.~~|NOTES|~Records must be Selected before they can be printed.~~If the
MailCode.SFL soft font is in the WML directory it will automatically be used to
print a postal bar code at the bottom of the envelope.
Laser LabelsThis option prints Selected records on laser labels (8½x11-inch
sheet of labels). A window will open for you to define the label sheet
dimensions, margins, and the items you want to print on the labels. This is the
same window as accessed with the Preferences/Laser Labels menu option, and any
changes you make in this window will be saved for future sessions. After
pressing F7 on this window you will be asked for the number of copies of each
label to print, followed by the starting label row & column.~~|NOTES|~~If you
are using 3-across labels (the standard type), there is not enough room to
print a bar code for an 11-digit U.S. zip code. Thus, even if you have the Auto
11-digit Zip option turned ON (on the Preferences/Other screen), you will only
get 5- or 9-digit zip bar codes on the labels. If you are using 2-across labels
then the full 11-digit bar codes will be printed.~~If the top margin is set to
a negative number this will move the beginning print position upwards on the
page. However, if you attempt to set the starting position higher than your
printer's physical top margin the first lines will overlap each other.
Number of copiesLzCopiesWhen you print labels you may specify the number of
copies to print. The default is 1 of each entry, but you may print up to 9999
copies of each entry.
Starting labelLzLblStartThis setting determines the starting print position
on the label sheet. The first label on the sheet is row 1, column 1. WML will
ask you to enter the horizontal and vertical label numbers. (See |Caution|
below.)~~If you are using a full sheet simply press the F7 key. If you wish to
start at label other than the top-left one, enter the numbers as
desired.~~|Example|~~If you had already used the first two rows of labels and
the first (left-most) label in the third row, the starting position would be
Horizontal (column) 2 and Vertical (row) 3.~~|CAUTION|~~It is possible that an
already-used label sheet may lose labels within your laser printer which could
damage the printer. Many people have no problem re-using label sheets and it is
certainly a good idea to minimize waste. Just the same, be careful: use this
technique |at your own risk| and only if your laser has a relatively straight
paper path to minimize the possibility of labels coming loose inside the
printer. Most printers have a special feed slot or exit slot to make the path
more straight.
What if data runs into next label?You may find that the data for one entry
runs into the next label (to the right). Here are some common reasons for this
problem and their solutions:~~|■| The font is too large ── if you are using a
PCL 5 laser printer (such as a LaserJet III or 4) then go to the
Preferences/Printers screen, highlight the option for the Laser Labels font,
and press F3; choose the same font (or a different one) and then set the point
size to a smaller number (try 8 or 9 points)~~|■| The font is too wide ── fonts
have different widths, so even at the same point size two fonts may be
dramatically different. Try using a different font (use the same procedure as
above).~~|■| Entries are all-CAPS ── with proportionally-spaced fonts, capital
letters take more space than lower-case ones. If you already have invested a
lot of time in a mailing list, there is not much you can do except try a
smaller point size or different font. Enter data using both upper- and
lower-case letters in the future.
Continuous LabelsPrint selected records on the type of label shown on the
menu. The label types you wish to print upon are chosen on the
Preferences/Labels screen.~~|═| Records must be selected before they will
print.
ExitEnd WML (which will return you to DOS or your menu). Always exit the
programme before turning your computer's power off.
Data EntryThis menu provides the means for you to enter and change information
in your mailing lists and group list.
NamesDE_NamesUse this to add new entries to a mailing list file or to change
existing entries. Each screen contains one entry (like a single Rolodex
card).~~|SPECIAL FUNCTIONS|~~Notice the special function keys listed near the
bottom of your screen (you should see some right now). You can press a function
key to perform it's function whenever it is shown on the screen or you can
|click on the function| description with a mouse.~~|F1| pops open the help
window. While on the State/Province field pressing |F1| will display a list of
States & Provinces from which you may choose and the mailing abbreviation for
that state will be inserted into the record.~~|F2| will display a list of
entries on file. You can scroll through this list and choose an entry.~~|F3|
will display the list of Groups you have defined, showing the ones to which the
current entry belongs (if any). You may then select & clear groups as apply to
the entry. Notice that the word |Group| under the F3 key (near the bottom of
the screen) shows up dim (grey) if there are no groups defined for the
displayed entry and |bright| (yellow or bright white) if groups are
defined.~~To change the status of the four toggles near the top-right of the
window, hold down the |«Alt»| key while pressing one of the letters highlighted
(e.g., Alt-D for the Delete toggle). Alternately you may use a mouse to click
on the toggles.~~|EDITING KEYS|~~WML uses a familiar DOS-style cursor to
indicate the data entry position within a field. If a field is empty, the
entire field will be highlighted and the cursor will be at the left-most
position. You may move the cursor without destroying data so that, for example,
you can change "Avenue" to "Street" without having to re-type the other
information in that field.~~The |Ins| (insert) key switches between "insert"
mode (the cursor becomes an underline; new data will push other information to
the right) and "over-write" mode (the cursor is a large block; new data will
erase information under the cursor).~~The |Del| (delete) key deletes the
character at the cursor.~~|Home| and |End| keys move the cursor to the start &
end of the field. If you hold down the |Ctrl| (control) key and then press
either Home or End, the file position will jump to the top or bottom of the
file.~~|PgUp| (Page Up) jumps to the previous entry and |PgDn| (Page Down)
jumps to the next entry within the opened file. Precisely what the previous &
next entries are depends on the active index.~~|NOTES|~~You don't have to set
the Number of Times Mailed or Last Mail Date fields ── these are automatically
maintained by the computer, but you can change them if necessary.~~Phone
numbers and comments appear only on screen, |not| on labels or envelopes.~~When
you enter a zip or postal code the State/Province for that code will
automatically be inserted.~~|ABBREVIATIONS|~~Abbreviations (a.k.a. macros) may
be used in the Address, City, and Comments fields. If there is enough room on
the line, any abbreviations found will be expanded to their full text. If there
is |not| enough room on the line abbreviations will remain as you type
them.~~For example, you might have "POB" set as "P.O. Box". But if you type
"12837 Rue de la Wokka Wokka, pob 12" on an address line the "pob" would remain
as it is because there is not enough room to put "P.O. Box" in its place.
Country/PR Urban DistDE_Names_CountryThis field has a dual purpose:~~1. It
holds the Country name |if| the address is outside the U.S.A. or Canada (WML
automatically figures out when to print USA or Canada), or~~2. It may hold the
name of the Puerto Rico Urban District for P.R. addresses.~~The Country field
only appears when the |Country setting| on the Preferences/Other screen is set
to |International|.
TogglesDE_Names_TogglesOn the top right edge of the Names data entry screen
are four toggles: Delete, Bad address, Omit, and Select. These fields are
either "on" (indicated by a check mark within the brackets |[√]|) or "off"
(indicated by empty brackets |[ ]|).~~The |Delete| toggle flags an entry which
is to be deleted the next time the file is packed. Entries remain on file until
the File/Pack option is used so that you can review the entries marked for
deletion before permanently erasing them from disk.~~The |Bad Address| toggle
indicates that the address on file is incorrect. This maintains the entry on
file for the purpose of duplicate checking so that it will not be entered again
with the same bad address.~~The |Omit/Exclude| toggle indicates an entry which
has a valid address but to which you do not wish to mail. Perhaps it is a
customer who has been chronically late in paying or a propspect to whom you no
longer wish to send mailings.~~The |Select| toggle selects a record for
printing. Selected entries may also be modified as a group using the Actions
sub-menu on the Print/Select/Query menu.
GroupsGroupsGroups are used to identify entries within a file. You may have
groups such as "Customers," "Friends," or "Christmas list." Entries may belong
to none or as many as 20 groups. When it comes time to print certain entries
within a file you can choose the entries by the group to which they
belong.~~Entries may be identified with groups on the |Names| Data Entry screen
or by using the |Actions| sub-menu of the Print-Select-Query menu.~~You can add
or change group descriptions at any time. Entries are identified with a group's
location within the data base, so changing the name makes no difference.~~You
may erase group names, however, when the time comes that a new group is defined
using the same location in the data base, any records which "point" to that
location will belong the the new group. When you look at entries on the Data
Entry/Names screen WML will check to see if they belong to a deleted group and,
if so, remove the invalid definition. Thus, if you access each entry in a file
you can remove any references to a deleted group.
AbbreviationsAbbrThis screen lets you define abbreviations which you can use
while entering mailing information. For example, if you have a lot of entries
which had the comment, "Credit Rating: xx" you could set an abbreviation of CRG
(or whatever) to expand to "Credit Rating: ". Then you would just type "CRG B+"
and WML would expand it to "Credit Rating: B+".~~Abbreviations are used in the
Address and Comment fields on the Names data entry screen.
MessagesMsgsThis screen lets you define one-line messages which can be
printed on envelopes and labels, such as "Address Correction Requested",
"Return Postage Guaranteed", or other instructions to the postal carrier. This
can also be used for messages such as "Floppy disk enclosed" or "The
information you requested". You may define up to 5.5 million messages.~~When
you print envelopes or labels you will be able to specify which (if any)
message to print.
Index/FilterThis menu lets you choose how you would like the mailing list to
be ordered for displaying and printing, and which records to display. There are
four index options, a separator line, and four filter options. The index and
filter settings you choose are shown at the bottom of the screen (on the status
line) and affects all output to screen or printer.~~|INDEX OPTIONS|~~|N|ame
sorts the list alphabetically according to Surname plus First Name plus Company
name~~|C|ompany sorts the list alphabetically by company name plus surname plus
first name~~|A|ddress sorts the list by the first address line plus zip/postal
code plus surname~~|Z|ip sorts according to the Zip/Postal code plus surname
plus first name~~|FILTERS|~~|S|elected displays only the records selected for
printing~~|D|eleted displays only the records marked for deletion~~|V|alid
addresses displays only the records which have valid mailing address
information~~|I|ncluded displays only the records which can be included in
mailings (in other words, the ones which |don't| have the Bad Address or
Exclude From Mailings flags set)~~You can activate more than one filter. The
active filters are conjunctive (logical AND operation). For example, if you
have the Selected and Valid Address filters activated, you will only see those
entries which are Selected for printing |and| have complete mailing addresses.
FiltersThis is a bit like a filter on a camera in that it affects what you
see. You can activate one or more filters simultaneously.~~|S|elected displays

marked for deletion~~|V|alid addresses displays only the records which have
valid mailing address information~~|I|ncluded displays only the records which
can be included in mailings (in other words, the ones which |don't| have the
Bad Address or Exclude From Mailings flags set)~~You can activate more than one
filter. The active filters are conjunctive (logical AND operation). For
example, if you have the Selected and Valid Address filters activated, you will
only see those entries which are Selected for printing |and| have complete
mailing addresses.
PreferencesThis menu determines the overall operation of WML.~~|| Use
|Address| to set one or two return addresses for printing on labels &
envelopes.~|| Use |Continuous labels set-up| to define continuous (dot matrix)
labels if the types you use are not on the list already.~|| Use |Envelope
Size| to define the types of envelopes you will be using.~|| Use |Laser
labels| to define the layout of the label sheets you will use in your laser
printer.~|| The |Other settings| screen has definitions which affect the way
WML functions on your computer, such as error tone, file display, etc.~|| Use
|Printers| to define your laser and/or impact printer(s).
AddressThis screen has room for you to enter up to two return addresses, such
as a Home and Work addresss. You may choose either of these when printing
envelopes and return address labels. For envelopes you may also choose to use
neither address to accommodate envelopes which have a pre-printed return
address.
Envelope SizePref_EnvThis screen let's you define the size of envelope on
which you will be printing.~~|Width & length|: A standard #10 business envelope
is 9½ inches wide by 4-1/8 inches long (9.5 by 4.125).~~The |Left/Right Offset|
lets you adjust the position of the return address for best results. A positive
offset will shift the return address to the right and the addressee to the left
- in other words, the left & right margins are moved inward. On a laser
printer, a negative offset will shift the return address text to the left and
the addressee text to the right - in other words, the left & right margins are
moved outward.~~The |Top & Bottom Offsets| let you adjust the vertical print
position. A positive offset will shift text down from the top and up from the
bottom (margins moved inward). On a PCL laser or ink-jet printer, a negative
Top or Bottom Offset will shift text up at the top and down at the bottom
(margins moved outward).~~|Examples|~~If the first line of the return address
doesn't print, set the Top Offset or T/B Offset to a positive number (like
0.2).~~If the bar code is not printing or only partially appears on envelopes,
it is going past the printer's built-in margin. Adjust the bottom margin to a
positive number (like 0.2) to move the bar code upwards.
Laser LabelsPref_DefLLSet the characteristics of your laser labels on this
screen. Enter the number of labels across and the vertical distance between
labels (measure from the top of one to the top of the next). When you are
finished press |F7| to save the data you entered, or press |Esc|ape to cancel
the operation.
Number acrossPref_LLacrossEnter the number of labels which appear
horizontally on your label sheets. The most common values are 2 and 3.
Vertical distancePref_LLvertThis is the distance, in inches, from the top of
a label to the top of the next vertically-adjacent label.
Top & Left marginsPref_LLmgnEnter values for the top and left margins of the
label sheet. Because label sheets vary and different laser and inkjet printers
can have different origins (the place where it starts printing), you will
probably need to experiment to find the right margin for your printer. It is
common to need about a ¼-inch margin for both settings.~~The margin settings
may be positive or negative numbers. To move the printing higher or further to
the left, set the margin to a negative number (like -0.1). If you set the top
margin past where the printer is able to print it will cause the first lines to
overlap.~~|Helpful Hint|~~Try printing on plain paper before you use a sheet of
labels, then hold a label sheet and the piece of paper up to a light source to
see how they line up.
Lines to printPref_LL_LinesThe vertical line spacing is determined by the
number of lines you wish to include on each label. If you use a large font
(such as a 14 point font), an entry with seven lines of data (including the
bar code) may overlap vertically. With smaller fonts this is generally not a
problem.~~Unless you have special label needs, you will normally want all lines
activated for mailing labels.
Label TypesPref_DMLabelYou can set WML to work with whatever type of labels
you use. Once you select this option you will see a menu of label types (some
of which may be "undefined"). Highlight the one you wish to view and/or change,
press ─┘Enter, and the label definition window will pop open.~~In this window
you set the characteristics for this type of label.~~|Name| ── Enter a
descriptive name. This is for your reference. ~~|Width| ── Enter the width of a
single label in inches. If there is more than one label across just measure one
of the labels.~~|Vertical distance| ── Measure the distance from the top of one
label to the top of the next.~~|Across| ── Enter the number of labels
horizontally, 1 through 9.~~|Horizontal distance...| ── Measure the distance,
in inches, from the left edge of one label to the left edge of the next. This
number doesn't matter if you are using one across labels.~~When you are
finished entering or changing data just press the |F7| key to save or the
|Esc|ape key to quit. You can also point & click on the fields and Ok/Cancel
buttons with a mouse.
Label NamePref_DMLNameThis is a name to identify the type of label (e.g.,
"Mailing", "Shipping", etc.) which can be up to 16-characters long.
Label WidthPref_DMLWidthThis is the width, in inches, of the label,
measuring between the left and right edges.
Vertical DistancePref_DMLVertThis is the distance, in inches, from the top
of a label to the top of the next vertically-adjacent label.
Number AcrossPref_DMLAcrossEnter the number (1 through 9) of labels
available horizontally.
Horizontal DistancePref_DMLHorizIf your labels are arranged with more than
one label across you must tell WML what the distance is from the left edge of
one label to the left edge of the next horizontally-adjacent label.
Left MarginPref_DMLLeftThis is the distance, in inches, to offset the
printing from the left margin. Some printers have their paper sensors located a
few inches from the left-most printing edge which may mean you must load your
labels to the right of the left-print-edge. On my NEC P5300 I must load my
1-across labels 1-inch to the right in order to activate the paper sensor, so I
set the left margin for 1.00 inch.
Lines to printPref_DML_LinesIf you choose to print more lines than will fit
on a label with standard vertical spacing WML will adjust your printer's line
spacing to allow for the extra lines. In this situation it is a good idea to
print a test label to check for line overlap.~~You can change the number of
lines printed on this label type on the Preferences/Continuous Labels
screen.~~If dynamic line spacing is not supported by your printer then WML will
assume spacing to be 6 lines per inch and you |must reduce the amount of data
to be printed| to fit on labels. If you do not the information for some entries
may run past the end of a label, causing subsequent labels to be mis-aligned.
Other SettingsPref_OtherThese settings affect the way in which WML operates.
Briefly, they are:~~1. |Back-up method| determines whether or not compression
software is used for back-up copies (the compression software must be
accessible via your DOS path)~~2. |Country| determines your home country, zip
code format, etc.~~3. |Directory format| determines how your files will be
displayed when you use the File menu.~~4. |Alert sound| determines the sound
used to call your attention to problems, incorrect responses, etc.~~5. |Auto
11-digit zip| determines whether WML will calculate the extra two digits for a
9-digit U.S. zip code (this does not apply to 5-digit zip codes).~~6.
|Incomplete addresses| determines whether entries with incomplete address
information will be printed on labels and envelopes.
CountryPref_CountryPress the |F3| key to set this field ── a menu of choices
will appear from which you may highlight a choice & press |─┘Enter|~~This
defines the countries for which you will be entering addresses. You may change
this setting at any time ── it will only change the way information is entered
and displayed (nothing permanent).~~ |U.S.A. only|~~Use this setting if your
mailings will |only| be to U.S. addresses. This setting...~|| Displays date in
mm/dd/yy format~|| Uses 2 capital letters for state~|| Uses (###) ###-####

|─┘Enter|.~~Lists of files (on screens such as File/Open, File/Erase, etc.)
can be displayed in one of three formats:~~1. DOS file name first, followed by
size, date, and description~~2. DOS file name only~~3. Description followed by
DOS file name, size, and date.~~Files are organized alphabetically from left to
right, so option #1 will sort the list on the DOS file name whereas option #3
will sort the list according to the description.
Alert SoundPref_ErrSndPress the |F3| key to set this field ── a menu of
choices will appear from which you may highlight a choice & press
|─┘Enter|.~~You can specify whether you want WML to be silent or use a tone to
call your attention to problems (e.g., printer off-line), warnings (e.g., when
data is about to be abandoned), etc.
Auto 11-digit ZipPref_AutoZipIf an address has a 9-digit zip, WML can figure
out the extra 2-digits and check-digit. Since there may be exceptions to the
rule you may turn the automatic zip expansion off, which will print 9-digit
zips as they are and will only print 11-digit zips if the full zip code is on
file.
Print incomplete addressesPref_NoAddThis setting helps to avoid mailing to
undeliverable addresses. If this option is set to "Print", then entries with
incomplete address information will be printed anyway. If set to "Don't print",
entries with no address will |not| be printed on labels and envelopes, even if
they are selected to print.~~|NOTES|~~Entries which have city, state/province,
and zip code are considered valid since some destinations do not have street
address information (especially in small towns)~~This setting affects:~|√|
Printing of labels & envelopes~|√| Exporting
Import duplicate rulePref_ImportThis setting determines how duplicate
entries will be handled when you are importing a file. In determining if an
imported entry is a duplicate of one already on file, WML checks for an
|identical| name, company name, and/or address, depending on the duplicate
checking options you have active (these are found under the Index
menu).~~|Update duplicates| will update the record on file with the new
information being imported.~~|Add duplicates| will add imported records to the
file without checking for duplicates~~|Ignore duplicates| will |not| add
duplicate entries to the open file.~~|Ask each time| will pop open a window
each time a duplicate entry is encountered, asking you whether to update, add,
or ignore the record.
Import techniquePref_InMethodThis setting determines how entries with
missing name or company name fields will be handled.~~|Standard| technique will
place the fields exactly as you specify on the import definition
screen.~~|Smart| technique will fill in missing fields by guessing at the
appropriate contents. |Smart Name| will operate only on the personal name. For
example, if the file you are importing has a single field for a person's name,
you can define that field to go into either the first name or surname field and
WML will split it into components. |Smart Name Company| will move a personal
name into the company name field if WML believes it belongs there. |Smart Name
Company| will move a personal name into the company name field or a company
name into the personal name fields, if it seems like the data belongs
there.~~The "smarter" the setting, the more likely it is that WML will make
some mistakes. However, if the file you are importing is inconsistent or has
only a single field for either a person's name or a company name, WML can save
you effort by correcting some (or all) of the entries for you. It is likely
that the highest two settings will contain inaccuracies (e.g., a company name
may end up split into the first and last name fields), but depending on the
condition of the import file you might have more correcting to do if WML didn't
give you a hand.~~|Note|: The file WML.CO contains company name "indicators"
which are used for the highest two "smart" setings. When WML sees one of these
character strings in a name it "knows" that the name is a company name. You can
edit this ASCII file to contain words which are found in the company names of
the file you are importing. Be sure you |make a copy of your edited file|
because the next time you update WML it will be replaced with the one which is
distributed with the package.
City & State formattingPref_CityThis setting determines how the City and
State/Province fields will be formatted on the Data Entry/Names screen.~~|All
upper case| will accept City & State/Province names in upper case letters only.
The U.S. Postal Service prefers these to be in upper case.~~|Capitalize| will
capitalize the first letter of each word in the City & State/Province name
except for U.S. State abbreviations which are always upper-case.~~|Leave as
typed| will leave these fields as you enter them, allowing both upper and lower
case letters, except for U.S. State abbreviations which are always upper-case.
Adhere to USPS standards?Pref_USPSThis setting determines whether WML will
force compliance with U.S. Postal Service standards or will allow a more
traditional printing of address information.~~The USPS uses computers with
optical character recognition (OCR) to scan mail in an attempt to mechanically
sort it (that is, without human intervention). For best accuracy they prefer
that the address information be printed in all UPPER CASE letters without any
puntuation.~~If you set this field to |Enabled| all U.S. addresses will be
printed in UPPER CASE with symbols and punctuation removed.~~When set to
|Disabled| address information will appear as it is entered on the Names Data
Entry screen and with a comma between the City and State names.~~|NOTES|~~This
setting does not affect the printing of Canadian or International addresses.
Default 3rd phone descriptionPref_Phone3This setting determines the default
description for the third phone number of each entry. "Default" means that this
is the description which appears on new records, although you can change it if
you wish.~~The default should be set to the description you will most often
use. For example, if you use the first phone number for an office or "work"
number and the third phone number is most commonly a person's home phone number
(if any), you may want to set the default description to be "Home".~~Remember,
this is only the default which will be applied to new records; you can change
the description on each entry as desired.
PrintersPref_PtrsDefine the laser and/or dot matrix printers you will use
with WML, including font definitions.~~√ Use the up and down arrows to move
between the fields~~√ When |F3/List| is displayed near the bottom of your
screen you can press the |F3| key to open a window of choices.~~√ For help with
a particular field, position the cursor on the field and press the |F1| key.
Printer PortPref_PtrPortThis is the "channel" WML will use to access each of
your printers ── LPT1, LPT2, or LPT3. If you have a switch box you can set both
printers to the same port. If you only have one printer it is probably
connected to LPT1.
Setting Printer ModelPref_PtrSetOn this line you define the printer you will
be using so that WML knows how to control it properly. Many printers, even
different brands, use the same control codes. If your printer is not on the
list look in your manual to find a model it emulates. Dot matrix printers are
usually Epson or IBM compatible.~~To set this field:~~|1.| Press the |F3| key
or double-click with a mouse. A window of printer choices will "pop up" on your
screen.~~|2.| Use the up/down/PgUp/PgDn keys to highlight your choice then
press ─┘Enter.
PCL Soft Font DirectoryPref_SoftDirIf you use a PCL laser printer you can
use soft fonts (fonts stored on disk which are sent to the laser printer as
needed. When you choose the |Select a Soft Font| option when setting a PCL font
you will be given the chance to specify the drive and path on which your font
files reside. Any new information you enter here will be saved as the new
default soft font directory.
Return Address FontPref_RAFontSelect the font you would like to use to print
the return address on envelopes. Since the post office does not need to use
their computers to read the return address information, you may use any type
of font in practically any size you want.~~To set this field:~~|1.| Press the
|F3| key or double-click on the field with a mouse. A window of font choices
will "pop up" on your screen.~~|2.| Use the up/down/PgUp/PgDn keys to highlight
your choice then press ─┘Enter.~~|3.| If the font is scalable you will be
asked to enter the size of print you would like to use.~~|NOTES|~~Envelopes are
printed in landscape orientation. To use soft fonts for envelopes you must have
file names ending in .SFL.
Addressee FontPref_AdFontSelect the font you would like to use to print the
addressee on envelopes.~~To set this field:~~|1.| Press the |F3| key or
double-click with a mouse. A window of font choices will "pop up" on your
screen.~~|2.| Use the up/down/PgUp/PgDn keys to highlight your choice then
press ─┘Enter.~~|3.| If the font is scalable you will be asked to enter the
size of print you would like to use.~~|NOTES|~~■ The U.S. Postal Service
prefers san-serif (Helvetica, Univers, Swiss, OCR, etc.) fonts in the range of
8-18 points for their automated readers.~~■ Except for some HP DeskJet models,
envelopes are printed in landscape orientation. To use soft fonts for envelopes
you must have file names which end with .SFL.
Label & Phone Book FontPref_LLFontSelect the font you would like to use when
printing laser labels (8.5 x 11-inch sheets of labels) and the phone book. The
U.S. Postal Service (USPS) prefers |sans serif| fonts, such as Helvetica,
Helvette, Univers, Swiss, or OCR in a |size of 8 to 18 points| ── 9 or 10
points is best for 3-across labels while 10 or 12 are good for 2-across labels.
Experiment with sheets of plain paper to see how different fonts will look and
fit on your labels. For the phone book a 10 point font works well.
Titles FontPref_TtlFontSelect the font you would like to use to print report
titles. This is used for the Group List, Phone Book, and Zip/Postal Code
Distribution List.~~To set this field:~~|1.| Press the |F3| key or double-click
with a mouse. A window of font choices will "pop up" on your screen.~~|2.| Use
the up/down/PgUp/PgDn keys to highlight your choice then press ─┘Enter.~~|3.|
If the font is scalable you will be asked to enter the size of print you would
like to use.~~|NOTES|~~Reports are printed in portrait orientation. A soft font
will have to end in .SFP to be used for report titles.
Manual FeedPref_ManFeedThis field specifies whether you will manually feed
envelopes or if you have an envelope tray. If you set this to "Yes" WML will
send a Manual Feed command to the laser printer before printing envelopes. On
some lasers this does nothing, but on most it will cause the printer to wait
for an envelope to be inserted in the manual feed slot. (For many compact laser
printers, the manual feed "slot" is on top of the paper tray.)
Impact Printer FontsPref_DMFontThese fields let you select the fonts to use
in printing envelopes, continuous labels, and reports on your dot matrix
printer.~~The Labels & Phone Book font definition is used for printing both
continuous labels and the main body of the phone book. The Titles font is used
in printing the title line for the Group List, Phone Book, and Zip/Postal Code
Distribution List.~~To set this field:~~|1.| Press the |F3| key or double-click
on the field with a mouse. A window of font choices will "pop up" on your
screen.~~|2.| Use the up/down/PgUp/PgDn keys to highlight your choice then

Pause for EnvelopesPref_DMPauseIf you use ordinary envelopes set this field
to |N|o. This will cause WML to pause between each envelope so you can load it
properly in your printer.~~If you use continuous envelopes (a box of envelopes
all connected to each other) then set this field to |Y|es so that WML will
print all of them without pausing.~~|NOTES|~~In most cases this field doesn't
matter because the printer will stop printing on its own as each envelope is
completed. However, if your printer:~~a. has no out-of-paper sensor so that it
always prints regardless of whether there's anything to print on, or~~b. will
not print single envelopes because it thinks it's out of paper so that you have
to jam a business card in the back to make it print (thereby defeating the
out-of-paper sensor),~~then this pause will make WML wait for you and help
prevent printing on the platten.
Duplicate CheckingPref_DupCkThe duplicate checking options are listed under
the Preferences menu. A dot to the left of any of these three options means
that it is active.~~When a dup checking option is active you will be told each
time a duplicate is detected.~~|| Duplicate checking applies to entering new
records from the keyboard as well as importing from other files~~|| Address
option checks the file for duplicate Address-line-1 only; line 2 of address is
|not| checked for duplicates.
